The Receptionist will be a trusted team member providing care to our patients and a trusted partner to the clinical team, center staff, and the Executive Leadership team.

Responsibilities

  • Greeting and Registration
    • Welcome patients, visitors, and vendors in a friendly and professional manner.
    • Check-in patients, verify and update personal and insurance information.
    • Direct patients to appropriate departments or staff members.
  • Appointment Scheduling
    • Schedule, reschedule, and cancel patient appointments using electronic medical record (EMR) systems.
    • Send appointment reminders and follow-up communications.
  • Communication
    • Answer and manage incoming calls, emails, and faxes promptly.
    • Relay messages accurately to appropriate healthcare personnel.
    • Provide information about services, policies, and procedures.
  • Administrative Duties
    • Manage patient records ensuring confidentiality and compliance with HIPAA regulations.
    • Process insurance claims and handle billing inquiries.
    • Collect and record patient payments and co-pays.
  • Office Maintenance:
    • Ensure the reception area is clean, organized, and presentable.
    • Maintain office supplies and order new stock as needed.
  • Patient Support
    • Assist patients with forms and documentation.
    • Provide information about wait times and ensure patients are comfortable while waiting.
  • Collaboration
    • Work closely with healthcare providers and administrative staff to coordinate patient care.
    • Assist with special projects and other duties as assigned.

Qualifications

  • High school diploma or equivalent; additional education in healthcare administration or related field is a plus.
  • Proven experience as a receptionist, preferably in a healthcare setting.
  • Proficient in using EMR systems and office software (e.g., Microsoft Office Suite).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Knowledge of medical terminology and insurance processes is an advantage.
  • Ability to handle sensitive information with confidentiality and professionalism.
