Position Summary
The Leave of Absence Specialist assists clients with medical leaves of absences in multiple states.
Essential Duties and Responsibilities
- Effectively coordinates all leaves to include comprehensive case management and compliance with all
- applicable federal and state leave laws.
- Performs exemplary customer service and supports the LOA team and Client HR team with
- leave-related questions and issues.
- Assists employees and managers through the leave of absence process by accurately explaining the
- leave policies and procedures.
- Responds in a timely manner to phone, email and in-person inquiries from employees, HR
- representatives and managers.
- Accurately determines leave eligibility and leave type, based on state and federal law and reviews
- associated medical certifications within state and federal time frames as well as company time frames.
- Provides timely and accurate required communication and materials to employees at the leaves
- commencement and throughout the duration of the leave (notices, medical certifications, letters, forms
- and required policies, etc.)
- Certifies and tracks LOA usage to ensure that employees do not exceed the amount of allotted time.
- Creates/updates leave of absence records in HRIS system and maintains confidential scanned image
- files with LOA-specific documents.
- Meets departmental production standards.
- Coordinates with all applicable parties to administer FMLA and state mandated leaves
- Conducts all necessary follow up with management and employees within acceptable time frame with
- respect to available leaves, leave status and updates, benefits, work restrictions, and required forms
- and return to work.
- Troubleshooting and investigating problems and gathering information to assist in making decisions,
- such as potential fraudulent leave activity, moon lighting, etc.
- Responds in a timely manner to phone, email and in-person inquiries from employees, HR
- representatives and managers.
- Other duties as assigned.
Knowledge, Skills, and Abilities
- Demonstrated knowledge and experience of employment laws and local, federal and multi-state regulations especially leave of absence related.
- Foundational knowledge of federal and state labor and employment enforcement agencies.
- Working knowledge of multiple human resource disciplines, including, employee relations, organizational diagnosis, performance management, recruitment, compensation and benefits (these areas are preferred).
- Strong verbal and written communication skills and interpersonal effectiveness at all levels in the organization and across cultures.
- Bilingual capabilities (English/Spanish) are preferred.
- Adheres to KPIs and SOPs according to guidelines established.
- Must use logic and reasoning to make immediate decisions under pressure or tight deadlines.
- Ability to make proper judgment calls when presented by a situation/problem.
- Strong sense of business ethics including the ability to handle confidential information appropriately.
- Able to effectively manage multiple projects and attend to daily HR matters while maintaining focus and follow through on issues until resolved and delivering results as committed.
- Ability to make recommendations to effectively resolve escalations by using judgment that is consistent with the standards, practices, policies, procedures, regulations and/or government law.
- Outstanding business acumen with the ability to understand and operate from the perspective of the business owner.
- Demonstrated proficiency in conducting root cause analysis and strong problem solving.

Education & Experience
- Bachelor's degree in Human Resources, Business Administration or a related field or equivalent work experience is required.
- 3-5 years HR experience preferably in the area LOA management. Will consider experience in Administration, Diability Health Care, Medical Billing, Benefits, Workers Compensation, Safety or related business. Other experience such as cosumer service or payroll is taken into consideration.
- Proficiency with Microsoft Office software (Outlook, Excel, Word, PowerPoint) and demostrated ability to learn other applications.
