Administrative Assistant - Interior Design - VA

Essential Duties and Responsibilities

  • Project and Client Management:
    • Managing the design project calendar and tracking project timelines
    • Scheduling client meetings, site visits, and vendor appointments
    • Maintaining organized client files with project details, contracts, and correspondence
    • Following up with clients regarding approvals, payments, and project updates
  • Financial and Administrative:
    • Processing invoices and purchase orders
    • Tracking expenses and maintaining project budgets
    • Managing accounts payable and receivable
    • Organizing tax documents and business receipts
    • Handling basic bookkeeping tasks
  • Vendor and Inventory Management:
    • Ordering material samples, furniture, and decor items
    • Tracking shipments and deliveries
    • Maintaining the materials library and sample organization
    • Coordinating with vendors and suppliers
    • Managing inventory of office and design supplies
  • Office Operations:
    • Answering phones and responding to client inquiries
    • Managing the designer's email and correspondence
    • Filing and organizing digital and physical documents
    • Coordinating office maintenance and supplies
    • Taking meeting minutes and creating project reports
  • Marketing and Social Media:
    • Updating the company website and social media accounts
    • Organizing professional photography of completed projects
    • Assisting with blog posts and newsletters
    • Managing the company's portfolio and project imagery
    • Coordinating marketing materials and promotional events

Education & Experience

  • At least high school
  • 3 years of experience
