Job Summary
We are seeking a highly organized and conscientious Administrative Assistant to provide comprehensive support to our advisors and ensure seamless operations. This role is perfect for someone who thrives in a detail-oriented environment, enjoys managing multiple tasks with precision, and takes pride in delivering flawless service.
Essential Duties and Responsibilities
- Provide administrative and operational support to advisors, ensuring all tasks are completed accurately and efficiently.
- Manage calendars, schedule appointments, and coordinate meetings with attention to timing and logistics.
- Prepare and edit documents, presentations, and correspondence with a focus on clarity and professionalism.
- Research information needed for client meetings. Prepare documents, notes, and presentation materials as required.
- Handle client communications with discretion and a client-first mindset.
- Assist with travel arrangements, event planning, and special projects as needed.
- Maintain organized files and records, ensuring all documentation is up-to-date and easily accessible.
- Anticipate needs and proactively address potential challenges to keep operations running smoothly.
Knowledge, Skills and Abilities
- Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- High level of discretion and confidentiality when handling sensitive information.
- Meticulous attention to detail and a commitment to accuracy in all tasks.
- Self-motivated, proactive, and able to work independently with minimal supervision.
- Familiarity with project management tools or CRM software. (Preferred)
Education & Experience
- Proven experience as an Administrative Assistant, Personal Assistant, or in a similar role.
- Experience in financial services or a professional office environment. (Preferred)
- Background in journalism, communications, or related fields is a plus.
