Position Summary

The Business Operations Coordinator supports the Operations Manager and leadership team in ensuring seamless practice operations, accurate billing, and efficient coordination of credentialing and managed care contract activities.

This position bridges operations, billing, and administrative functions — contributing to streamlined business processes, compliance oversight, and effective payer relations. The ideal candidate is detail-oriented, proactive, and adaptable, with strong analytical, organizational, and communication skills.

Essential Duties and Responsibilities

Operational & Administrative Support

  • Support the Operations Manager in coordinating daily operational activities and special projects.
  • Prepare and maintain operational reports, logs, and documentation.
  • Oversee vendor coordination, office logistics, and internal communications.
  • Provide executive administrative support including scheduling, meeting preparation, and follow-up.
  • Maintain organized electronic and physical records in alignment with compliance standards.

Billing & Financial Coordination

  • Assist with patient and insurance billing processes to ensure accuracy, timeliness, and compliance.
  • Collaborate with billing and finance teams to reconcile data and resolve payment discrepancies.
  • Generate billing, collections, and revenue reports for management review.
  • Support the tracking and analysis of key financial and operational metrics.

Credentialing & Managed Care Contracts

  • Liaise with insurance payers and credentialing bodies to ensure timely and accurate provider enrollment, re-credentialing, and contract renewals.
  • Maintain up-to-date credentialing files and documentation for all physicians and mid-level providers.
  • Track, organize, and manage all managed care contracts, including rates, terms, and renewal timelines.
  • Coordinate payer updates, contract amendments, and credentialing submissions with leadership and external partners.
  • Support negotiations and maintain a database of active payer relationships to ensure network participation and reimbursement accuracy.

Data Analysis & Reporting

  • Collect, organize, and analyze operational and financial data to support informed decision-making.
  • Develop and maintain dashboards and visual reports that track performance trends.
  • Identify process gaps and recommend opportunities for improvement.

 Education & Experience

  • Associate's or Bachelor's degree in Business Administration, Healthcare Management, or related field preferred.
  • 2+ years of experience in healthcare operations, billing, or administrative support (experience in a medical practice strongly preferred).
  • Experience or familiarity with credentialing and managed care contracting processes required.
  • Proficient in Microsoft Excel, Word, and EMR/billing software (experience with eClinicalWorks or similar systems a plus). AI
