Position Summary
The Front Desk Executive will play a critical role in shaping the first impression of our firm. This role requires someone with at least 3 years of experience supporting fast-paced environments, exceptional communication skills, and the ability to multitask efficiently. You must be a self-starter, punctual, adaptable, and ready to support both clients and internal teams as needed.
Essential Duties and Responsibilities
- Warmly greet clients with a professional, positive, and upbeat attitude
- Serve as the primary point of contact at the front desk
- Communicate with clients fluently in both English and Spanish
- Maintain a clean, organized, and welcoming reception area
- Prepare coffee and ensure refreshments are stocked for clients and staff
- Answer phone calls, route inquiries, and manage front desk communications
- Assist clients with check-in, documentation, and basic questions
- Provide administrative support to other departments when needed
- Use AI tools and automation systems to improve workflows and efficiency
- Demonstrate leadership qualities through initiative, problem-solving, and accountability
- Remain calm and effective under pressure in a high-volume environment
- Uphold the company's image through professionalism and excellent customer service

Education & Experience
- Minimum 3 years of experience in a fast-paced administrative or front desk role
- Bilingual: Fluent in English & Spanish (written and verbal)
- Experience using AI tools, agents, or automation systems
- Experience in a tax, financial, or professional services office - Preferred.
- Experience supporting multiple departments or executives - Preferred.
- Tech-savvy and comfortable learning new systems quickly - Preferred.
