Position Summary

The Service Coordinator is a key, hands-on role responsible for overseeing and improving the execution of all service-related activities within the company. This individual will ensure the seamless coordination of field service operations, drive process efficiency, and support departmental growth through high standards of service and timely execution. This role will take full ownership of service projects from initiation through closeout, including active timeline management, customer communication, and pushing the revenue cycle forward regardless of project stage.

This person operates with a strong sense of urgency, takes initiative without waiting for direction, and knows how to push for results—both internally and with customers—while maintaining professionalism. The right candidate is versatile and adaptable, comfortable juggling everything from project coordination and financial tracking to customer engagement and process improvement. They should be confident, assertive, and able to stand their ground when needed to protect timelines, quality, and company interests.

You should be highly trainable, open to learning quickly (and iterating through failure), and excited to evolve your role as the business scales. Transformer and/or electrical service knowledge is strongly preferred, but a strong aptitude and the ability to quickly grasp technical concepts is just as valuable. Hands-on field service or repair experience is required to ensure immediate impact. This position is onsite to start, with the potential to transition to a hybrid model after six months, once the role is fully operational.

Essential Duties and Responsibilities

  • Service Operations & Coordination
    • Take full ownership of service jobs from start to finish, proactively managing timelines, scope, coordination, and communication to ensure on-time delivery, proper documentation, and seamless handoff to billing.
    • Coordinate with internal teams and external partners to ensure efficient scheduling of service jobs, accuracy of job information, timely work order management, and prompt invoicing.
    • Prepare jobs ahead of execution to prevent delays caused by incomplete paperwork or miscommunication.
    • Act as the central communication hub for service-related activities, providing updates and clear next steps to stakeholders.
    • Manage and maintain service-related documentation, including quotes, work orders, warranty claims, and inspection reports.
    • Monitor and track monthly service revenue goals, driving progress at all phases of the project lifecycle and proactively implementing process enhancements to accelerate billing and performance.
  • Customer & Partner Engagement
    • Communicate directly with customers to obtain service approvals and remove blockers for the shop team.
    • Confidently assess risks and make timely, informed decisions to keep jobs moving.
    • Track and resolve warranty issues through close coordination with internal and external stakeholders.
    • Lead post-service follow-ups to ensure smooth transitions to invoicing or project closure.
  • Risk Management & Quality Assurance
    • Perform risk assessments on service jobs, identifying and resolving gaps in paperwork, approvals, or documentation.
    • Ensure accountability on critical action items such as recon work follow-ups, missing purchase orders, and job completion records.
  • Cross-Functional Collaboration & Growth Support
    • Align with sales and technical teams to support service delivery and business development initiatives.
    • Partner with Service Sales to improve lead qualification and conversion processes.
    • Serve as a utility player who can flex into project management, financial oversight, or other operational needs as the role evolves.
  • Continuous Improvement & Learning
    • Identify inefficiencies in operations and recommend solutions to improve overall service execution.
    • Maintain a strong understanding of billing processes and relevant systems.
    • Stay curious and embrace continuous learning—whether it's software tools, industry knowledge, or hands-on troubleshooting.

Knowledge, Skills and Abilities

  • Proven experience in service coordination, operations, or field service repair - ideally within the industrial, electrical, or transformer services sector.
  • Strong sense of ownership; able to work independently and make informed decisions in a dynamic, fast-paced environment.
  • Demonstrated ability to learn quickly, adapt to new challenges, and apply feedback constructively.
  • Experience managing multiple responsibilities across project coordination, financial tracking, and customer engagement.
  • Excellent communication and collaboration skills for internal and external coordination.
  • Strong customer service mindset with the confidence to manage client interactions directly.
  • Analytical thinker with the ability to evaluate service data and drive performance improvements.
  • Proficiency in job scheduling, process tracking, and work order management.
  • Effective problem-solving skills and a practical, solution-oriented mindset.
  • Proficiency in Microsoft Office and PDF editing software; familiarity with Xero or similar accounting software is highly preferred.

Education & Experience

  • Proven experience in service coordination, operations, or field service repair - ideally within the industrial, electrical, or transformer services sector.
  • Prior hands-on field service or repair experience is required.
